Free Ways to Organise AI Images and Prompts
You can organise AI images and prompts for free with Google Drive (15 GB shared with Gmail and Photos), Obsidian (free for any use), Notion's free plan, a spreadsheet, or Dreamdrive's free plan, a Chrome extension that saves each image and video automatically with its prompt. The manual options cost nothing but time; the automatic one saves the prompt for you.
Most people start organising AI work when they lose something: the perfect image from three weeks ago, or the prompt behind it. You don't need to pay to fix that. Here are five free approaches, honestly compared, and what each asks of you.
At a glance
| Option | Free allowance | Keeps the prompt? | Effort |
|---|---|---|---|
| Google Drive folders | 15 GB shared across Gmail, Drive and Photos | Only if you write it down | Medium |
| A spreadsheet | Free in Google Sheets | Yes, by hand | High |
| Obsidian | Free for any use, including commercial; sync is paid | Yes, by hand | Medium to high |
| Notion free plan | Uploads up to 5 MB per file; unlimited blocks for one person | Yes, by hand | Medium |
| Dreamdrive free plan | Automatic capture, 2 GB of originals, search of the last 90 days, 3 projects | Yes, automatically | Low |
The manual options
Google Drive
Create a folder per project and name files with the date and platform. Drive is free up to 15 GB, shared with Gmail and Photos. It keeps files safe but knows nothing about prompts, so paste them into the file description or a text file in each folder.
A spreadsheet
One row per keeper: date, platform, model, prompt, file name, project. Fully searchable and free, and the most reliable manual method if you keep it up. Most people stop within a fortnight.
Obsidian
Obsidian is free for any use, including commercial. One note per project with images embedded and prompts underneath works well and stays on your computer. Syncing between devices is a paid add-on.
Notion
A Notion database with an image, prompt, platform and status per entry makes a good-looking library. On the free plan, uploads are limited to 5 MB per file, so large images and videos may not fit.
The automatic option
Dreamdrive is a Chrome extension with a free plan that never expires. It saves each image and video as you make it on the AI platforms you connect, with the prompt, model and settings, at full size. The free plan includes automatic capture on every connected platform, search of the last 90 days, three projects and 2 GB of stored originals, and you can download everything as a zip with CSV and JSON at any time. See pricing for what Pro adds.
Which to choose
- A handful of keepers a week: a spreadsheet or Obsidian is enough.
- Several tools a day, or client work: automate the capture, or the log will fall behind.
- Whatever you use, keep the prompt next to the image. A folder of images without prompts is a portfolio, not a library.
